Job Description
MdM is a medical humanitarian NGO. Since 1980, MdM has worked independently around the world to guarantee universal and sustainable access to healthcare.
In Palestine, the objectives of the programs are to limit the medical impact of the restrictions in accessing medical care on the Palestinian population, to improve mental health and psychosocial care and to bear witness to the violations of the right to health.

MAIN OBJECTIVE:

The Grants Assistant supports the Grant Officer and organises, implements, monitors and evaluates all the grant activities (retro planning, donors concept notes, proposals, reporting, annexes, project SITREP’s, fact sheets, success stories, project kick-off, reviews, closeout etc) for MdM France in occupied Palestine territory (oPt). S/he assures compliance with the planning for submissions respecting the grant guidelines of each donor. S/he assures the quality of the activities, practices and data, including the development of the Memorandum of Understanding (MoUs) and Partnership Agreements (PAs) with MdM stakeholders and other MdM Chapters as she/he indirectly leads and/or supports MdM or partner teams, ensuring the acceptance and dissemination of donor’s requirements, rules, regulations and visibility guidelines.
S/he focuses on maintaining organized and accurate records of all grant-related documents and correspondence. The role includes archiving, minute-taking, drafting reports, and tracking grant activities to ensure compliance with internal procedures and donor requirements.
SPECIFIC OBJECTIVES, TASKS AND RESPONSIBILITIES
- Donors’ proposals and report writing
Proposal development
Support the Grant officer on:
- writing of concept notes and/or proposals with retro planning
- Guarantee the high quality of concept notes and /or proposal development, and ensure donor compliance and guidelines adherence
- Provide timelines and ensure timely communication and submission of concept notes, project updates and /or proposals to HQ and Donors
- Ensure timely communication of any delays or timeline modification to both mission and HQ teams
- Ensure the quality of all submission documents (concept notes, proposals, reporting) are collated incorporating the different contributions and harmonizing the review process with a focus on the program department input)
Donor reporting
Support the Grant officer on:
- Organise, contribute and monitor program activities and contextual evolution to support mission development in the coordination of writing donor reports
- Ensure the delivery of high-quality donor reporting (templates and compliance) in close collaboration with coordination team, technical managers, MEAL teams and HQ Program Support Officer
- Ensure adherence to donor deadlines, including developing and disseminating detailed timelines retro-planning to relevant staff at least a month in advance to submission deadlines
- Define, organise and supervise that reporting activities at mission level are completed and submitted to relevant donors on time updating the internal grants tracker for mission
- Support the mission in the organization of external audit or evaluation.
- Memorandum of Understanding (MoU) and Partnership Agreements (PAs)
Support the Grant officer on:
- Drafting of needed operational MoU’s or PAs and amendments (eg Ministry of Health, Local partners, international agencies).
- The preparation, drafting, adaptation or review of MoUs/PAs between MdM France and other MdM chapters.
- Maintain a database on all partnership agreements including dates of coverage and associated projects. Ensuring to highlight the requirements for MoU’s/PA’s under new project preparatory stages are timely executed to not delay project activities
- Development of communication materials and documentation related to grants:
Support the Grant officer on:
- Support the communications officer with the development and adaptation of MdM visibility and IEC material for external application ensuring the materials are up to date and translated
- Monitor and follow up the adherence to visibility requirements related to Donors and MdM in all bases with support from communications officer
- Contribute to the creation of communication materials about different projects, in line with MdM and Donors communication strategy
- Ensure the availability of photos, video and the needed consent before publication for Donor’s reporting purposes.
- Collect in coordination with the program team beneficiary stories for communication and reporting purposes
- Define and maintain a comprehensive, and logical filing tree in shared point for all grant and project documentation

Job Requirements
REQUIRED SKILLS AND COMPETENCES
Education:
- Strong written and verbal communication skills in English (Mandatory)
- Bachelor’s degree in English, Project Management, Business Administration, or any related field. (Mandatory)
- 1–3 years of experience in grant management or working in an NGO, development, or donor funded environment.
- Proficiency in Microsoft Office applications. (Mandatory)
- Ability to manage multiple tasks and meet deadlines.
- Familiarity with grant documentation and donor reporting requirements is a plus.
Soft skills:
- Excellent level of communication, both written and oral.
- Good personal organizational skills, including time management, and ability to meet deadlines.
