Organizational Context

The FAO Coordination Office for the West Bank and Gaza Strip Programme implements the Country Programming Framework for Palestine to enhance the wellbeing of Palestinian people by making the agrifood system more efficient, inclusive, resilient, and sustainable in alignment with national policies and strategies and the United Nations Sustainable Development Cooperation Framework (UNSCDF).
Under the overall supervision of the FAO WBGS Head of Office, the direct supervision of FAO Head of Programme, and in close collaboration with the Operations Officer, the Programme Support Associate provides programme related services ensuring high quality, accuracy and consistency of work. The Programme Support Associate promotes a client-oriented approach consistent with FAO rules and regulations.
The Programme Support Associate works in close collaboration with the operations, programme and projects’ staff and with FAO HQs staff to exchange information and ensure consistent service delivery.
Functions / Key Results Expected
Summary of key functions:
- Support day-to-day follow up on the projects delivery and ensure compliance with the project’s workplans and documents
- Support the documentation of programme delivery and progress
- Draft/review programmatic reports and information materials
- Support programme coordination.
- Keep the projects related information and documents continuously updated in corporate systems.
The incumbent will perform the following duties and tasks:
- Assists the Head of Programme in ensuring the alignment of FAO programme in the WBGS with the corporate guidelines and best practices.
- Assists in the collection, consolidating and drafting of information materials and reports to serve efficient implementation of FAO’s projects and the formulation of new project concepts and documents, this includes drafting programme-specific information materials in close consultation
with Food Security Unit, programme staff and operations - Under the guidance of the Head of Programme, participates and assists in the preparation for internal and external programmatic meetings and sector coordination workshops, write up and maintain the minutes and reports, and provide day-to-day follow up of the implementation of the recommendation of the programme related meetings, within the given deadlines;
- Ensures that the FAO’s beneficiary databases and maps are continuously updated and maintained readily available for reporting, communication and programme development purposes;
- Performs day-today follow up with the projects’ implementation team, in order to ensure that output level achievements and impact of the different types of FAO’s interventions and field activities are properly and timely documented;
- As instructed by the Head of Programme, liaises with the projects’ implementation team and conducts field visits as needed in order to document programmatic issues, best practices and lessons learnt;
- Drafts and/or review the quality of projects’ and programmatic reports and formal/informal communication materials.
- Ensures and maintain proper filing and tracking of the programme related documents using country level and corporate online systems in close liaison with relevant units (project documents, LoA’s, MoUs, official letters...etc);
- Ensures networking and the availability of an updated list of addresses and mailing lists of different partners;
- As required, and in consultation with the projects’ implementation team, food security unit and communication and reporting officer, provides assistance in the development and formulation of quality information materials related to FAO programme in the WBGS, this includes thematic brochures, reports, regular newsletters, consolidation of technical papers, press statements… etc;
- Performs other duties as and when requested.

Recruitment Qualifications
Education:
University degree in developmental studies, international relations, economics, social studies, agriculture, or related fields.
Experience:
- At least 3 years of relevant experience in programme development and implementation support.
- Experience in consolidating and reviewing projects’ implementation reports and documents.
- Experience with food and agriculture programmes is desirable.
Language Requirements:
Fluency in spoken and written English. Knowledge of Arabic is an asset.
Other:
- Excellent interpersonal and communication skills;
- Experience in the usage of computers and office software packages (Oracle, MS Word, Excel, etc) and knowledge of spreadsheet and database packages;
