ACTED is an international NGO registered in France. ACTED’s vocation is to support vulnerable populations affected by wars, natural disasters and/or economic and social crises, and to accompany them in building a better future. ACTED started its activities in the occupied Palestinian territory (oPt) in May 2007. ACTED is currently implementing projects covering multiple humanitarian / development sectors, funded by of a variety of international donors, which aim at protecting vulnerable households and strengthening civil society actors across the oPt. ACTED oPt offers a dynamic, rigorous and knowledge-orientated working environment.

In the occupied Palestinian territory, ACTED is both committed to humanitarian assistance and long-term development. ACTED strives to strengthen the economic capacities of communities, consolidate civil society organisations, and provide emergency assistance to the most vulnerable, rural communities in the West Bank, East Jerusalem and Gaza. ACTED currently seeks an Admin/HR Assistants for its humanitarian operations in Gaza.

III-Position Profile
Human Resources Management Support
- Prepare and maintain monthly attendance sheets; ensure all staff complete them daily.
- Monitor and check staff attendance sheets.
- Follow up on staff leave records and distribute necessary forms as needed.
- Support the Area Senior Admin/HR Officer in tracking staff appraisals with relevant department managers.
- Ensure adherence to Acted HR standard templates and internal regulations.
- Draft contracts for daily workers and assistants; submit to the Area Senior Admin/HR Officer for review.
- Complete exit forms and share them with the Area Senior Admin/HR Officer.
- Prepare monthly payments for daily workers and submit them for review.
- Track applications for enrollment in the health insurance system.
Administration
- Coordinate meeting area reservations.
- Track office supply needs and prepare relevant Order Forms (OFs).
- Monitor overall cleanliness of offices in coordination with cleaning staff.
- Assist in registering receipt of key items using appropriate forms.
Recruitment
- Assist the Area Senior Admin/HR Officer in organizing interviews and contacting shortlisted candidates.
- Ensure collection of all required applicant documents as per ACTED HR Manual.
- Draft employment contracts and share them with the Area Admin/HR Officer for review.
- Collect all necessary information and documents for contract issuance (ID, photos, recruitment forms, etc.).
- Update the new staff checklist in a timely manner.
Filing and Archiving
- General Filing:
- Assist the Area Senior Admin/HR Officer in maintaining ACTED’s standard Admin/HR filing system, including correspondence, premises contracts, tax documents, and recruitment records.
- Personal Folders:
- Create personal folders (digital and hard copy) for national staff on their first day.
- Ensure confidentiality and security of personal staff files.
- Share personal folder documents with Capital HR during the first week of the following month (N+1).
- Regularly update the personal folder database.
- Archiving:
- Ensure all documents are scanned and properly archived in ACTED’s system and SharePoint.

V. Qualifications:
- Bachelor's degree in human resources, business administration , or any other related field.
- Minimum 1 years of experience in relevant field.
- Proven experience working with NGOs, INGOs, possibly in similar roles is a plus
- Familiar with the Palestinian Labour Law.
- Computer skills, especially on Microsoft (word , excel , etc.)
- Excellent in written & spoken English/ Arabic.
