Project Administrative Assistant
For 12 months and upon the availability of funds
General Objective
The overall responsibility is supporting the Engineering team in various administrative and project-related tasks. The role involves a diverse range of responsibilities, with a focus on data review and update, document preparation, Archiving and providing support in monitoring and reporting on field-related activities.
Key Activities
Objective #1 Project’s administrative Support:
Tasks:
- Assist the engineering department with administrative tasks and office work as required.
- Support the preparation of project documents and tools, including assessments, and agreements.
- Ensure data accuracy and quality preparation of different documents related to the job in coordination with ither departments.
- Organize and maintain physical and digital filing systems of all project documents and ensure coordination with project teams.
- Follow up the agreement and MoUs preparation process and ensure proper handling of these documents.
- Ensure that all MoU’s and agreements are signed, scanned, and archived.
- Assist in preparing Purchase Orders and required info for SPOs under framework contracts.
- Prepare, format and scanning payment documents and other project-related documents.
- Keep detailed records of project activities and provide necessary support for follow-up actions.
- Ensure proper archiving and documentation in line with ACF archiving processes and project closing checklists.
- Perform other administrative tasks as requested by the direct supervisor.
- Responsible for regular update of projects monitoring tools, tracking activity deadlines to request extensions when needed, and maintaining the tracking sheet for post-maintenance period
- Coordination with Information Management focal point to ensure that the project data are regularly updated and matched
Objective #2 Field Support and Operational Flexibility
Tasks:
- Follow up with the Field staff the progress of work implementation to update ACF’s required sheet as required.
- Assist field staff with data collection, surveys, and other field tasks if necessary.
- Travel within the West Bank to field sites as required.
- Provide translation services when needed.
- Perform other duties as needed according to the mission’s requirements and context

- Bachelor’s degree in business administration (minimum requirement); candidates with an Engineering background are preferred.
- Proven experience in administrative support roles in engineering or construction, preferably in a project or NGO setting.
- Knowledge of different humanitarian & development sector (WASH, Shelter, FSL.. etc)
- Experience in creating and managing follow-up tools.
- Minimum of one years' experience in humanitarian and development programming, with a strong preference for project administrative work.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks.
- Proficiency in data processing, data quality assurance, and in archiving and managing digital files in accordance with donor requirements to ensure compliance.
- Understanding of humanitarian, emergency, and development programming.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Flexibility and the ability to work well under pressure in a fast-paced, multitasking environment.
- Proficiency in reading, writing, and speaking both Arabic and English.
- Proficiency in MS Word, Excel, PowerPoint, email/internet software, and other relevant tools.
- Ability to travel within the West Bank and stay overnight if needed

COMPENSATION PACKAGE:
ILS 56,223 to 64,451gross/ year divided in 12 payments and based on experience. In addition, Action Against Hunger covers food and transportation allowances for a fully worked month.
