ORGANISATIONAL CONTEXT:
Palestinian Environmental Friends (PEF) is a leading non-profit organization established in 1998 by a group of Palestinian experts committed to environmental and natural resource issues. Guided by the values of creativity, dignity, and transparency, PEF strives to ensure a green and healthy environment for present and future generations.
Operating across the Gaza Strip, PEF addresses key areas, such as climate change, green practices, water and wastewater management, solid waste management, food security and livelihoods, shelter, education, public health, infrastructure development, and capacity-building initiatives. Additionally, PEF conducts community awareness campaigns to promote environmental sustainability.
Through its efforts, PEF contributes to environmental and cultural preservation, supports the sustainable use of local resources, and strengthens the connection between Palestinian communities and global environmental and development goals.
JOB PURPOSE:
The logistic assistant is responsible for supporting the daily logistics and supply chain functions of PEF, including procurement follow-up, stock and warehouse operations, transport coordination, and asset tracking. The position ensures timely, compliant, and efficient delivery of logistics services that support the implementation of PEF’s programs and operations.
Working under the direct supervision of the Finance and Administrative Manager, the Logistics collaborates closely with the procurement, finance, project, and administrative teams to maintain accurate records, ensure proper logistics documentation, and facilitate operational continuity.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
- Procurement Support
- Assist in the collection of quotations and preparation of purchase requests and supporting documents.
- Follow up on purchase orders, supplier deliveries, and contract documentation.
- Organize procurement files and maintain procurement tracking systems.
- Ensure that all procurement activities comply with PEF and donor procedures.
- Stock and Warehouse Management
- Support the receipt, inspection, and proper storage of goods and materials.
- Update stock registers and maintain organized storage spaces.
- Conduct regular stock counts and assist in resolving inventory discrepancies.
- Assist in preparing stock movement and inventory status reports.
- Transport and Fleet Coordination
- Schedule vehicles and coordinate daily transportation needs for staff and materials.
- Maintain vehicle usage logs and support fuel tracking.
- Assist with vehicle maintenance follow-up and documentation.
- Ensure fleet documents such as insurance, licenses, and servicing records are properly filed and monitored.
- Asset Management
- Maintain the asset register and support the tagging and tracking of organizational assets.
- Report any asset damages, losses, or transfers to the supervisor.
- Support regular asset verification and contribute to compliance with disposal procedures.
- Documentation & Reporting
- Maintain complete and accurate records for logistics transactions.
- Assist in preparing routine logistics reports (e.g., procurement status, vehicle usage, inventory updates).
- Support audit preparation by ensuring logistics files are compliant and accessible.
- Other Duties
- Perform other logistics-related tasks as assigned by the Finance and Administrative Manager.
- May occasionally be required to work on weekends or public holidays (with time off in lieu).
DELIVERABLES AT THE END OF THE CONTRACT:
- Timely and accurate logistics support provided to project activities.
- Updated procurement, inventory, and fleet records in compliance with internal procedures.
- Stock and assets tracked and reported correctly.
- Coordination of logistics movements and deliveries conducted efficiently.
- Accurate and complete documentation available for audits and compliance reviews.
- Logistics reports submitted on time and aligned with operational needs.

KNOWLEDGE AND SKILLS:
- Good understanding of logistics and supply chain operations in an NGO or similar context.
- Familiarity with procurement and warehouse management procedures.
- Strong organizational and time management skills.
- Basic knowledge of vehicle, asset, and inventory control processes.
- Proficiency in MS Excel, Word, and document filing systems.
- Strong interpersonal skills and ability to coordinate across departments.
- Attention to detail, accuracy, and ability to work under pressure.
- Good communication skills in both Arabic and English.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education:
Bachelor’s degree in Business Administration, Logistics, Procurement, or a related field.
Field Experience:
At least 3 years of relevant work experience in logistics, procurement, or warehouse support, preferably with NGOs or donor-funded projects.
Language Proficiency:
Fluency in both oral and written Arabic and English.
