In order to support the Private Sector Development Programme, we are looking for a full-time (100%)
 
“Administrative and Finance Assistant”:
 
Tasks and functions include but are not limited to:
 
Administration and office management:
  • Update, store, and maintain documents in reference files and DMS in line with GIZ rules
  • Checking and monitoring car logs and reimbursement for expenses and completing vehicles files
  • Responsible for organizing business trips including purchasing tickets, hotel accommodation, transportation for staff, consultants, counterparts and Handles travel management in the project according to GIZ rules and regulations
  • Purchase, store and distribute office supplies and stationery; and ensures its availability
  • Assist in the preparation of IC and following up monthly error sheets
  • Assists in organizing, coordinating, and documenting meetings, workshops, seminars, and other activities with a focus on administrative tasks
  • Ensuring all office equipment and software are up to date and functioning properly.
 
Financial tasks:
  • Supporting the head of program administration as requested
  • Assures smooth functioning of financial administration, such as cash withdrawal, preparing and verifying vouchers in line with GIZ standard procedures
  • Reconciles the cash book and cash account daily and reports any surplus or shortfall in cash
  • Reimbursement of team for operational costs
  • Assist in inviting offers, organize purchase orders and procurement of goods and services.
General Tasks
  • Provides general administrative support to the program including photocopying and scanning
  • Organizing and compiling of information materials and labels files as needed
  • Paying invoices, delivering, collecting documents
  • Supports technical officers and informs them on GIZ financial and administration guidelines and ensuring compliance with them
  • keeps inventory according to GIZ Rules and Regulations using the related GIZ software system
  • Performs other duties and tasks at the request of line manager 
  • Regularly checks the changes in GIZ Processes and Rules (PuR) in relation to field of work

Required qualifications, competencies, and experience
  • University degree in accounting, finance, administration, or any related field of study.
  • 1-3 years professional experience in a comparable position.
  • Fluent in English and Arabic. German is a plus.
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) 
  • Strong computer skills, particularly in MS Office application (e.g., word, excel, PowerPoint)  
  • Excellent communication and interpersonal skills 
  • Ability to work under pressure and tight deadlines, self-initiator, flexible and able to work with people of different backgrounds, service-oriented, friendly personality, well organised and motivated 
Assignment:  Starting 01.03.2022, 12 months contract with possible extension.
