Admin Assistant/Receptionist
The Admin Assistant/Receptionist supports daily administrative tasks at NRC’s Ramallah Office, including front desk management, petty cash handling, coordinating office supplies and services, and assisting with logistics and documentation. The role also oversees and maintains accurate staff attendance tracking, manages and updates health insurance records and related documentation, supports admin needs in other West Bank field offices, and ensures effective coordination with HR, Finance, and Logistics.
We are looking for someone who is motivated and eager to learn, has strong organisational and teamwork skills, and shows good cultural awareness and sensitivity.
The Admin Assistant / Receptionist is expected to perform the listed below responsibilities:
Generic Responsibilities:
- Assist with the implementation of the admin function portfolio according to plan of action
- Prepare and develop status reports as required by management
- Ensure proper filing of Admin related documents
Specific Responsibilities:
- Be the Receptionist for NRC Ramallah Office, greet guests, inform staff of arrival, ensure only authorised persons enter the office.
- Responsible for managing the cash box, in line with NRC Palestine Finance SOP and NRC Financial Handbook.
- Support other West Bank Field Offices in Administration tasks as requested by the line manager (Nablus, Tulkarem, Hebron).
- Coordinate with the landlords for office on issues related to maintenance, utility payments and lease agreements.
- Purchasing office stationery, phone credit cards and office supplies, and management of all Field Office utilities, including gas, electricity and water .
- Ensure new staff in Ramallah have all admin related supplies on their first day in the office
- Hotels reservations for training, workshops, NRC events, meetings and conferences.
- Ensure that Ramallah office is kept clean, tidy and organised. Liaise with Logistics when disposal processed need to be undertaken.
- Oversee and maintain accurate attendance tracking for staff.
- Manage and update the health insurance records and related documentation.

Key competencies required for this role include the following:
Generic Professional Competencies:
- Experience from working as a Support Function Assistant in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
- Strong Knowledge of English (reading and writing)
Context/ Specific Skills, Knowledge And Experience:
- Fluent in Arabic
- Analytical skills
- Proven ability to plan and implement
- Strong organisational and team working skills
- Good computer application skills in Microsoft Excel, Word, PowerPoint, database and network communication

- This position is Grade (03) Step (01). Salary & Benefits are based on West Bank Duty Station.
- Reports to: HR & Admin Coordinator.
