Field Program Support Coordinator
Location: Gaza Strip
Start Date: Immediate
Contract Type: Full-time, six months renewable based on performance and funding
Salary Range: $1000–$1,200 USD/month (gross), depending on qualifications and experience

Job Summary:
United Palestinian Appeal (UPA) is seeking a highly organized and proactive Program Support Coordinator to provide comprehensive support to multiple departments in UPA Gaza office. The successful candidate will report to the Gaza Program Manager and will coordinate with the Procurement Director, Communications Team, and MEAL Director to ensure smooth implementation of programs and operations.
Key Responsibilities:
- Procurement Support (Under Procurement Director guidance): 40%
- Receive quotations/offers from vendors and suppliers, conduct initial reviews, and participate in the tenders’ analysis as requested.
- Maintain communication with vendors to ensure clarity and completeness of documentation.
- Receive and review delivery notes and field payment requests before forwarding them to the Director of Procurement.
- Support in documenting procurement processes in line with UPA policies and donor regulations.
- Maintain procurement tracking and documentation tools and organized soft and physical files.
- Attend tender openings and analysis
- Media and Communications Support (In coordination with the Communications Team): 40%
- Coordinate with the Communications Team prior to all professional media collection maintain connection and be present to trouble shoot as necessary on the day of
- Ensure high visibility of UPA and partners while adhering to UPA brand guidelines and partner visibility requirements.
- Capture high-quality informal photos and videos of project activities, field visits, and events and share on a regular basis with the Visual Media Coordinator.
- Collect beneficiary and staff stories and testimonials and document project impact narratives, using the guidelines provided by the communications Coordinator
- Ensure timely submission of media content to the Communications Team for broader dissemination.
- Meet bi-weekly with the comms team to provide insights from the field to inform media plans.
- Coordinate with relevant UPA Gaza field team, communication team, partners, and any external media and communication consultant to implement visibility activities.
- Ensure informed consent is obtained and archived for all photographed or recorded individuals during any media collection whether informal or professional.
- Provide technical coaching to the field team on strong media collection.
- Monitoring, Evaluation, Accountability and Learning (MEAL) Support: 20%
- Support MEAL Director in validating and verifying data received from the field.
- Participate in field visits to assist with data collection or spot-checking activities as needed.
- Assist in organizing field-level assessments or surveys, as applicable.

Qualifications and Requirements:
- Bachelor’s degree in media and communication, Business Administration, Project Management, Communications, or a related field.
- At least 4 years of relevant experience in communication, logistics, administrative or programmatic support roles, preferably in the NGO/INGO sector.
- Knowledge of procurement processes and donor compliance is a strong asset.
- Strong photography and basic videography skills; familiarity with ethical media practices.
- Excellent communication and interpersonal skills.
- A good understanding of MEAL concepts and tools is a plus.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with SharePoint and cloud platforms preferred.
- Fluent in Arabic; good command of English (spoken and written) is a plus.
- Ability to travel within Gaza for field visits and meetings.
