Senior Admin & Procurement Specialist

Business Alliance HR Services is recruiting a  Senior Admin & Procurement Specialist for a local NGO that is located in Ramallah, Palestine.
Reporting to: Finance & Admin Director

Essential Duties and Responsibilities:
  1. Assist the finance and admin director in preparing the organization's strategic and operational plans and budgets.
  2. Perform periodic planning of the organization's administrative functions/activities taking into consideration the program and project plans and the needs of departments and country offices.
  3. Prepare and update the annual procurement plans/goals.
  4. Plan and implement all procurement activities, prepare quotations and bids for procurement operations, issue purchase transactions/orders, and follow up on the implementation in accordance with established work procedures.
  5. Conduct field visits to the country offices and identify the needs of building maintenance, equipment, hospitality purchases, cleaning supplies, and others.
  6. Prepare and manage the organization's contracts (service & purchasing) including (lease, maintenance, technical support, etc.).
  7. Prepare agreement drafts for suppliers, services providers, etc.
  8. Maintain assets inventory data completed, updated, recorded, and archived.
  9. Manage the annual inventory physical count as required by policy.
  10. Report periodically on procurement, administration, and maintenance as requested.
  11. Oversee and manage the service staff, and conduct annual performance appraisals for them.

متطلبات الوظيفة
Special Requirements & Skills: 
  1. Experience in the NGOs sector is highly preferable.
  2. Proven experience in administration management and procurement.
  3. Experience in preparing and managing contracts.
  4. Strong communication and interpersonal skills.
  5. Excellent analytical and decision-making skills.
  6. Excellent computer, Microsoft, and archiving skills.
  7. Ability to multi-tasking to meet deadlines.
  8. Willingness and ability to travel to the country offices (among West Bank) as required.
Total Years of Experience: 
Minimum 8 years of relevant working experience.
Education & Certificates Required:
Bachelor’s degree in Business Administration, or any relevant field.
Languages Required:
Fluent in Arabic & English
