Job brief:

  • As a secretary, you will assume the duty of clerical and administrative support to optimize workflow procedures in the office.
  • You will assist colleagues and executives by supporting them with planning and distributing information.
  • You will be the point of reference for all queries, requests, or issues and will be an integral part of the company’s workforce.

Responsibilities:

  • Answer phone calls and redirect them when necessary.
  • Arrange and confirm appointments of patients.
  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.
  • Prepare and disseminate correspondence, memos, and forms.
  • File and update contact information of employees, volunteers, Patients, beneficiaries, suppliers, and external partners.
  • Support and facilitate the completion of regular reports.
  • Archive and document the activities, including photo-taking and videos recording during all activities; dental, AHA, and surgical missions.
  • Registration and communication with patients, trainees, and beneficiaries.
  • Supervising and documenting activities including the dental clinic, and the AHA center,
  • Check frequently the office/work supplies levels and place appropriate orders.
  • Make travel arrangements.
  • Managing the website and social media accounts.
  • Document expenses and hand in reports.
  • Carry out the other work tasks as required.
  • Participate in the team meetings.

متطلبات الوظيفة
  • Previous work experience as a secretary or Administrative Assistant.
  • Familiarity with office organization and optimization techniques.
  • A high degree of multi-tasking and time management capability.
  • Good written and verbal communication skills in Arabic and English Languages.
  • Integrity and professionalism.
  • Proficiency in MS Office.
  • University/college degree.
