Overall Role & Responsibilities:   The Finance & Administration Assistant will be responsible for providing assistance to the Finance and Administrative Manager regarding daily and monthly accounting functions, basic office managerial duties, logistics, and security. The Finance & Administration Assistant will be based in the Amideast/Ramallah office and report directly to the Finance and Administrative Manager.  

Specifically, the Finance & Administration Assistant is responsible for the following duties:

 Accounting Functions

  • Reviews and enters vouchers daily into accounting system, after ensuring that account numbers and project numbers are active
  • Prepares payments for review and signature, ensuring proper backup documentation to all payments and receipts
  • Verifies Cashier’s income vouchers and petty cash expense vouchers against receipts and vouchers on a daily basis, and prepares for deposit
  • Maintains auditable inventories of resale items and fixed assets
  • Assists in preparation of monthly financial reports to HQ
  • Allocates courier, telephone bills and supplies to projects
  • Ensures proper coding and monthly reconciliation of American Express charges
  • Compiles documentation required for annual financial audits
  • Assists in monitoring of budgets as requested
  • Maintains finance and administration filing systems

Administration Functions

  • Assists in the procurement of office supplies, equipment, furniture, etc. following Amideast and U.S. government regulations
  • Assists in ensuring the maintenance of office equipment and furniture
  • Assists in maintaining the human resource database of records
  • Processes health insurance enrollment forms and claims
  • Manages the translation of documents
  • Maintains the West Bank office inventories of fixed assets
  • Any other duties as assigned

QUALIFICATIONS

Required: 

  • Bachelor’s degree in accounting, finance, or related field
  • Minimum 2 years accounting experience
  • Fluent spoken and written Arabic and English language skills; Hebrew is preferred
  • Excellent communication and organizational skills
  • Positive attitude and ability to work independently and as part of a team
  • Flexible work schedule
  • Experience using accounting software and MS Office applications
  • An ability to handle financial information with confidentiality and discretion
