Job Description: Finance & Administration Assistant

Background

Palestinian Information Technology Association of Companies – PITA is the voice of the ICT sector in Palestine. It has more than 150 member companies working in different ICT sectors such as software and outsourcing sector, hardware sector, training and consultancy sector, Internet and telecommunications sectors. PITA is the reference and representative association of private ICT sector. PITA was founded in 1999 by a group of Palestinian entrepreneurs as a non-profit organization to advance the interests and positive societal impact of Palestine’s Information and Communication Technology (ICT) sector. A new generation of forward thinking entrepreneurs with a heritage that takes them back thousands of years in history is bringing together profound change to the technology and startup landscape. Having the vision towards “A nation nurturing innovation and contributing to world knowledge” and the mission “To lead the ICT sector towards an innovation-based economy”. PITA is looking for a qualified Finance & Administration Assistant to join its working team in Gaza Strip office according to the below competencies.

Direct Supervisor:Gaza Manager

Reporting:Gaza Manager and Administrative & Finance Officer

Communication:With all internal parties

Line of Authority:N/A

Job Tasks and Responsibilities:

-Scheduling meetings with appropriate logistics.

-Maintaining multiple appointment calendars and coordinating meetings with senior management and PITA members and committees.

-Perform executive secretarial and administrative duties as required.

-Maintain updated database and HR files of all our team, partners and members.

-Photocopying and exercising good judgment on all matters.

-Administrative support to Gaza Manager and Gaza Strip team

-Update PITA membership administrative and financial files such as members applications, fees, statutes, permits, contact information etc.

-Maintain office files and documents.

-Update archival codes

-Implement records management policy and procedures

-Prepare letters, documents, reports, and surveys analyses in Arabic and English if needed.

-Composing and preparing memos, emails, PR reports and presentations.

-Processing and reconciling financial expense reports.

-Manage the office petty cash.

Required Skills and Qualifications: Education

-Bachelor degree in Business Administration, Finance, Accounting or related fields.

Knowledge and Experience

-At least 3 years in administration and finance-related work experience

-Good knowledge of accounting and bookkeeping procedures

-Proficiency in use of spreadsheets, word processing and computerized accounting systems with Advanced MS Excel skills

-Familiarity with accounting software.

-Organizational and time-management skills

-Attention to detail, with an ability to spot numerical errors

-Strong written and oral communications skills in both Arabic and English;

-Ability to organize effectively, work under pressure with attention to detail, precision and accuracy

-Dedication to PITA principles and demonstrated ability to work harmoniously with different teams
