Background Information - Job-specific
The successful incumbent will be part of the Programme Management team and as such will work under overall supervision of the CTA.
-Maintain processes to ensure project management documentation, reports and plans are relevant, accurate and complete ;
-Provide assistance to maintain and update the project management framework;
-Develop positive relationships with technical committees leaders and members to enable the PMO to provide support including facilitation, tracking and reporting on projects, and training;
-Assist with the implementation of the communication framework;
-Share lessons learned and best practices across programs
-Understand the deliverables of internal and external customers and contribute to success through cooperative and collegial processes
-Maintain proper filling system for the programme related documents, and make sure all the supporting documents are kept in files
-Support the technical committees in the administrative works for the working groups
-Prepare and distribute minutes of meeting;
-Serve as point of contact between consultants and technical committees, when requested
-Arrange appointments between technical committees and external consultants;
-Perform any other duties as required by the supervisor
Monitoring and Progress Controls
-To ensure smooth running of the project. Works with minimal amount of supervision.
-Independently provides accurate results in the areas of work including administrative functions.
-A Bachelor Degree in Business Administration or other related field will be an advantage.
-Project Management certification (i.e. PRINCE2, MSP) is an asset; candidate is expected to be PRINCE2 certified within the first 6 months of employment.
-Minimum of 1 years of professional experience in administration and related functions.
-Computer literate and familiar with Office applications (in particular, Word and Excel).
-Previous experience in project administration, an asset;
-Work collaboratively with colleagues to achieve project goals
-Supportive and service oriented personality with commitment, efficiency and willingness to work in a highly motivated and fast-moving team;
-Delivers outputs for which one has responsibility within prescribed time, cost and quality standards;
-Excellent command of Arabic and English language (oral and written).
